If your business runs on WhatsApp and Excel, here is the first thing AI should do for you
If your business runs on WhatsApp and Excel, the first AI step is not a chatbot. Capturing the leads that slip through is already a cheap, solved problem. Here is where AI actually earns its place.
Most of the businesses I work with run on two tools. WhatsApp, for talking to customers and the team. And Excel, for everything they need to remember. Orders, stock, payments, who owes what.
Here is the part nobody says out loud: this setup mostly works. You built a real business on it. So when someone tells you to "add AI," the honest question is not "what can AI do." It is "where should AI start, so that I actually feel it."
Let me give you the whole answer, for free. The information was never the hard part.
Do not start with a chatbot
The exciting version of AI is a chatbot that talks to your customers for you. For most businesses on WhatsApp and Excel, that is the wrong first move. A chatbot is loud and visible, and it can embarrass you in front of a customer. Worse, it does not fix the thing that is actually costing you.
The thing costing you is the leak. An enquiry comes in on WhatsApp at 9pm and gets buried by morning. A customer asks for a quote, you mean to follow up, and three days later you have both forgotten. None of these feels like a disaster on the day. Add them up across a month, and you are quietly losing real money you never even see.
The first step is a solved problem, and you might not need me for it
Here is the honest part most people selling AI will not tell you. Capturing those leads is not some advanced AI project. It is a cheap, solved problem.
A WhatsApp CRM does it out of the box. In India, tools like AiSensy, Wati, and Interakt pull every enquiry from WhatsApp into one place, give you a shared inbox, and start at a few hundred to a few thousand rupees a month. You do not need a developer for this. You do not need me. You need an afternoon to set one up.
So start there. Get your leads out of the chat scroll and into one list. That alone will stop most of the bleeding.
Where AI actually earns its place
Once your leads sit in one place, the interesting part begins. This is where AI stops being a buzzword and starts being useful.
A CRM captures. It does not think. AI does the layer on top. It reads the day's pile and tells you the three people who actually matter, the one about to buy and the one about to leave. It drafts the replies in your voice, so you approve instead of write. It spots the quote you sent that never got an answer, and reminds you to chase it.
That is the part worth building well. It is also the part a generic tool will not do for your specific business, because it has to learn how you work. Capture first. Get clever second.
Why this order matters
Three reasons I always start clients here.
It pays for itself fast. Catch two or three lost orders a month, and the whole thing has already earned its keep. The return is not a guess, it sits right there in your own numbers.
It builds your trust in the tool cheaply, before you spend on anything custom. The first time AI hands you a follow-up you would have forgotten, you stop seeing it as hype.
And it sets up everything after. Clean, captured leads are the foundation the clever parts are built on. Skip it, and the clever parts have nothing good to work with.
The principle, and the honest bit
You do not need to digitise your whole business to start with AI. You need to find the one place you are quietly bleeding, and stop it. For most businesses on WhatsApp and Excel, that place is the gap between a customer reaching out and you following through.
I give all of this away because the information was never the hard part. The doing is. Setting up the capture, you can do yourself this week, and you should. The clever layer on top, the part that learns how your business actually works, is what I build and keep running for the people who want it done properly. But that is a choice you make after you have stopped the bleeding, not before.
That is the first thing. Get it right, and everything after it gets a lot easier.
